Privacy Policy
This Privacy Policy describes how Roar Fitness (“we”, “us”, or “our”) collects, uses, and shares information when you use our website at roar-fitness.com (the “Site”), buy from our online shop, use our app, enquire about our services, or train with us at one of our studios or online.
Roar Fitness is the trading name of Roar Fitness Limited, a company registered in England and Wales under company number 09449035, with its registered office at 4th Floor Tuition House, 27-37 St George’s Road, Wimbledon, London, SW19 4EU. We decide how and why your personal data is used, which makes us the data controller for the information described in this policy.
We process personal data in accordance with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018, and the Privacy and Electronic Communications Regulations 2003, as amended by the Data (Use and Access) Act 2025.
1. Information We Collect
1.1 Information You Give Us
When you complete an enquiry form on the Site, sign up to our newsletter, book a free consultation, message us on social media, call us, or email us, we collect the details you choose to provide. This typically includes your first and last name, email address, phone number, the studio you are interested in (London City, London Kensington, or Dubai), how you heard about us, your training goals, and whether you agree to receive marketing from us.
When you become a client, we also collect your postal address, payment plan details, session bookings, and the notes your Personal Trainer or Nutrition Coach keeps on your programme.
1.2 Health Information
Before your first session, we ask you to complete a physical health questionnaire. Depending on your answers, we may also ask for a letter of medical clearance from your GP or further information from another medical practitioner.
If you take part in a nutrition programme, your Nutrition Coach may record your weight, height, body fat pinch test results, and body measurements, and take before and after photos. You can ask us not to take these measurements, although your nutrition advice will be less accurate without them.
Health information is special category data under UK GDPR. We collect it only with your explicit consent, which we will ask you to give in writing, and we use it to check that training is safe for you and to build and track your programme. Please do not include detailed health information in enquiry forms or first emails to us. We will ask for it at your consultation.
1.3 Payment Information
Payments for programmes and classes are taken through our client management and class booking platforms, which use Stripe to process card payments. Orders from our online shop are processed by our shop provider. We see confirmation that a payment has been made, but we do not store your full card details on our own systems.
1.4 Information From Our App
If you use our app, it collects fitness information such as workout activity, exercise logs, heart rate, and other fitness metrics. The app collects this only with your explicit consent. See section 5 for how we handle app data.
1.5 Technical Information
We collect certain information automatically when you use the Site, including your IP address, browser type, device type, operating system, referring URL, pages viewed, page response times, and time spent on the Site. This is collected through cookies and similar technologies, as described in section 7 and in our Cookie Policy.
1.6 Social Media
When you follow, message, or comment on our Instagram, Facebook, X, or LinkedIn accounts, or interact with our adverts on those platforms, we receive the information those platforms make available to us, such as your profile name and the content of your message. Advertising tools on those platforms also tell us when someone who has seen our adverts visits the Site.
2. How We Use Your Information
- To respond to your enquiry, arrange your free consultation, and pass your details to the studio you selected.
- To assess whether our training is safe and suitable for you, and to design your exercise and nutrition programme.
- To deliver your sessions, manage bookings, cancellations, and reschedules, and assign a replacement trainer or coach when needed.
- To take payments, manage payment plans, and process shop orders, returns, and refunds.
- To provide app features, including fitness tracking, progress insights, and syncing across your devices.
- To send you news, offers, and updates by email or text, where you have agreed to receive them.
- To publish testimonials and transformation results, where you have given us permission.
- To analyse how the Site is used, fix errors, measure how well our advertising works, and improve our services.
- To handle complaints and disputes, and to meet our legal, accounting, and tax obligations in the UK.
3. Legal Basis For Processing
We rely on different legal bases depending on why we are using your information. We process data on the basis of contract when we need it to answer your enquiry, set up your programme, and provide the services you have paid for. We rely on consent for marketing messages, non-essential cookies, app health features, and publishing testimonials. We rely on our legitimate interests to run and improve our business, keep the Site secure, and keep records of customer feedback, and on legal obligation where the law requires us to keep records, such as for tax.
For health information, we rely on your explicit consent alongside our contract with you.
You may withdraw your consent at any time by contacting us. Withdrawing consent does not affect processing we carried out before you withdrew it.
4. Sharing Of Information
We do not sell your personal data. We share it only in the circumstances set out below.
4.1 Our Team And Studios
Your details are shared with the Personal Trainer, Nutrition Coach, and client support staff who work with you. If you enquire about our Dubai studio, your enquiry is passed to the team there.
4.2 Service Providers
We use trusted third parties to help us run our business, including our website host, client management and class booking platforms, Stripe, our online shop provider, Mailchimp for email, Google Analytics, and freelance trainers or coaches who deliver sessions on our behalf. They may process your data only on our instructions and are required to keep it confidential and secure.
4.3 Marketing Partners
We will only share your contact details with third parties for their own marketing if you have given us specific consent to do so.
4.4 Sale Of The Business
If we sell or transfer our business, or buy another business, your personal data may be disclosed to the prospective buyer or seller and transferred as part of that business.
4.5 Authorities
We may disclose information where we are required to do so by law, by a court, or by a regulator, or for the prevention or detection of crime. In some cases the law may not allow us to tell you that we have made a disclosure.
5. Our App
5.1 Health And Fitness Data
Health and fitness data collected by our app is used only to provide the app’s features. We do not share it with third parties for their own use, and we do not use it for advertising or marketing. Access is limited to authorised staff who need it to support you.
5.2 Facebook Connection
The Facebook connection in the app is switched off by default. If you switch it on, the app connects your device to Facebook’s servers, which allows you to share information and invite friends, and allows Facebook to link your app use to your Facebook account. Facebook’s use of that information is covered by its own privacy policy. You can switch the connection off again in your app settings at any time.
5.3 Deleting Your Account
You can ask us to delete your app account through the in-app settings or the contact form. Please write “delete my account” in the subject line and include your first name, last name, and email address. When your account is deleted, your personal and health data in the app is deleted too, except for any records we are required by law to keep, such as payment records for tax purposes.
6. Testimonials And Transformation Results
We are always glad to hear about your results. Before we publish a testimonial, review, or before and after photos on the Site, social media, or in our marketing, we will ask for your written permission and agree with you how you want to be named. You can ask us to remove a testimonial or photos at any time by contacting us, and we will take them down from the Site and our own social media accounts.
We also keep internal records of client feedback so we can check the quality of our service.
7. Cookies
We use cookies and similar technologies on the Site. Strictly necessary cookies are always active, while analytics and marketing cookies, including those set by Google, Meta, and HubSpot, are only used with your consent. You can change your choice at any time through the cookie settings link on the Site.
Our Cookie Policy explains which cookies we use, what each one does, how long it lasts, and how to manage or delete them.
8. Third-Party Links And Social Media
The Site contains links to websites and platforms we do not operate, including Instagram, Facebook, X, and LinkedIn. We have no control over, and accept no responsibility for, the content, privacy policies, or practices of those third parties.
Anything you post in a comment on our social media accounts can be seen by other users of that platform. Please think carefully before including personal information, especially about your health.
9. How Long We Keep Your Information
We keep client records for as long as you train with us and for six years afterwards, which covers the period in which a legal claim could be brought and our tax and accounting obligations. Enquiries that do not lead to a programme are kept for a short period so we can follow up, and any health information in them is deleted once the enquiry is closed. If you have a consultation, we keep the questionnaire and consultation notes for longer, in case you join or a question about the advice arises later.
Marketing data is kept until you unsubscribe or withdraw consent. After that, we keep a record of your email address or phone number on a suppression list so we do not contact you again by mistake.
10. Security
We apply appropriate technical and organisational measures to protect personal data against loss, misuse, and unauthorised access. Health information is kept separately from general enquiry data, and access to it is limited to the trainers, coaches, and staff who need it. No method of sending or storing data over the internet is completely secure, so we cannot guarantee the security of information while it is in transit to us.
11. Transfers Outside The UK
Some of our service providers, including Google, Meta, Mailchimp, and our booking and client management platforms, store data on servers outside the United Kingdom, including in the United States. Enquiries about our Dubai studio are also handled in the United Arab Emirates. Where personal data is transferred outside the UK, we make sure it is protected by UK adequacy regulations or by appropriate safeguards such as the International Data Transfer Agreement or the UK Addendum to the EU Standard Contractual Clauses.
12. Your Rights
Under UK data protection law, you have the right to be told how we use your personal data, to request access to the personal data we hold about you, to ask us to correct data that is inaccurate or incomplete, to request deletion of your data, to restrict or object to processing, to withdraw consent, to request that your data be transferred to you or another organisation, and rights in relation to automated decision making. To exercise any of these rights, contact us using the details below.
We will respond within one month, and there is normally no charge. We may ask you to verify your identity before we act on a request. Some rights are not absolute, and if we are permitted or required by law to continue processing your data, we will explain why.
If you have a concern about how we have handled your personal data, please contact us first so we can put it right. If you remain unhappy, you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113.
13. Children
Our services are not available to anyone under 18, and we do not knowingly collect personal data from children. If you believe a child has provided us with personal data, contact us and we will delete it.
14. Changes To This Privacy Policy
We may update this Privacy Policy from time to time, for example when we add a new service or when data protection law changes. Any changes take effect when the updated policy is posted on the Site. We will not reduce your rights under this policy without your consent.
